Share a Project and Manage Access in Vincent

Learn how to invite colleagues to a Project in Vincent, what the owner, editor, and viewer roles can each do, and how to remove someone or transfer ownership.

Summary

Learn how to invite colleagues to a Project in Vincent, what the owner, editor, and viewer roles can each do, and how to remove someone or transfer ownership.

Why This is Important

A Project is private when it is created, so sharing is a deliberate act. The role you give someone decides whether they can add to the record or only read it, which matters when a Project holds a live matter and the people around it include juniors, other practice groups, or business operations staff.

How to Share a Project

  1. Open the Project and click Share.

  2. Type the colleague's name.

  3. Choose their access level: edit or view.

  4. Click Invite. They appear in the access list for the Project.

What Each Role Can Do

  • Owner: whoever created the Project. The owner can do everything, including deleting the Project and changing its status. [VERIFY]

  • Editor: can do essentially everything the owner can: upload and delete files, edit the matter summary, create conversations, and add tasks. [VERIFY — the stated intent is that deleting the Project and changing its status remain with the owner.]

  • Viewer: read-only. A viewer can read everything in the Project, including conversations and the activity log, but cannot upload or delete files, change the matter summary, or create conversations.

Share a project by selecting Share, searching for a colleague within your organization, and assigning them an Editor or Viewer access level before sending the invitation.

How to Remove Someone From a Project

Open the access and sharing panel and remove them from the list. Their access ends immediately; the work they created stays in the Project.

How to Transfer Ownership

Ownership can be transferred to another member. This exists because people leave firms, and a Project should not be left with an owner who is no longer at the organisation.

If a Project's owner is removed as a Vincent user, their Projects are not deleted. Deletion is only appropriate where your organization's data retention policy requires it.

Best Practices & Pro Tips

Give view access when the person needs to check the work, not do it. A reviewing partner, a supervising counsel, or an ops lead who needs oversight is usually a viewer. It keeps the record clean about who produced what, which is the point of having the record.

Review the access list at each staffing change. Membership is the confidentiality control on a Project. When someone rolls off a matter, remove them the same week, and check the list before adding anyone whose involvement could raise a conflict.
