Why This is Important

Historically, moving files from your secure DMS to an AI tool required a manual "download-upload" bridge, creating security risks and wasting time. With Vincent's direct integrations, you can browse your firm's existing folder hierarchy directly within the platform. This ensures data sovereignty, prevents "shadow copies" on local devices, and streamlines your workflow.

Feature Availability & Activation

  • NetDocuments, SharePoint & Google Drive: Enabled by default for most Vincent users.

  • iManage: Available upon request for all accounts.

  • Enterprise Customers: To comply with strict firm data governance policies, all DMS integrations are disabled by default on Enterprise accounts.

If you do not see your preferred provider listed in the 'Add Documents' menu, please contact your Account Manager to have the integration enabled for your firm.

Step-by-Step Guide

The process for importing documents is consistent across all providers.

Step 1: Open the File Picker

In any workflow that allows document uploads (such as "Analyze a Contract" or "Summarize Documents"), click the 'Add Documents' button.

Step 2: Select Your Provider

In the dropdown menu, select your DMS provider (e.g., NetDocuments or SharePoint).

Use the dropdown menu to connect Vincent directly to your preferred DMS provider, such as NetDocuments or SharePoint.

Step 3: Authenticate

A pop-up window will appear asking you to sign in. Enter your standard firm credentials for that provider to authorize access.

  • Note on Session Timeouts: You generally only need to authenticate once per active session. However, because each DMS provider enforces its own strict security and timeout policies, you may be prompted to sign in again if your connection expires before your next upload.

Step 4: Browse and Import

Once authenticated, you will see a file picker that mirrors your firm's folder structure.

  1. Navigate to the location containing your case files.

  2. Select the specific file(s) you wish to analyze.

  3. Click Import.

Vincent will securely pull the selected documents into the workflow for analysis.

Note on Folder Uploads: Currently, the ability to select and import entire folders in bulk is only supported through the iManage integration. For NetDocuments, SharePoint, and Google Drive, please select the individual files you wish to import. We will notify users through our official updates channel if this functionality changes in the future.

Best Practices & Pro Tips

  • Read-Only Access: Currently, this integration is inbound only. Vincent reads the file to analyze it, but it does not edit, delete, or save new versions back to your DMS. Your original source of truth remains untouched.

  • Security: Using this direct integration is more secure than downloading files to your desktop, as it keeps the data within authorized channels.
