How to Create a New Workflow in Vincent Studio (4-Step Guide)
Follow this 4-step guide to create, configure, and publish a basic workflow in Vincent Studio.
Summary
To create a new workflow, click the New Workflow button and follow the guided 4-step setup: Details, Build, Tasks, and Publish. This guide highlights the key actions at each stage to transform your manual process into a powerful, automated tool for your firm.
Why This is Important
This four-step process is the core of the Vincent Studio workflow builder. Mastering this process will enable you to transform any of your firm's manual procedures into a scalable, consistent, and easy-to-use custom legal workflow. This guide provides the definitive roadmap for turning your expertise into a reusable asset.
Think Like a Project Manager: The most successful workflows solve a single, well-defined problem. Before you build, ask yourself: "What is the one repetitive task that consumes the most non-billable hours for my team?" Start there.
Before You Begin: Create Your Blueprint
The most successful workflows are planned before you enter the builder. We highly recommend taking two minutes to map out your process first. This ensures you have a clear plan to follow.
The easiest way to do this is by using Vincent's General Assistant to structure your thoughts.
The 4 Steps to Creating a Workflow
Once you have your blueprint, navigate to the Workflows tab in Vincent Studio and click the + New Workflow button in the top right corner. This will launch the workflow creation wizard.
Step 1: Configure Workflow Details
This step controls how your workflow appears to your team and how it's organized. Think of it as the cover of a book.
Name: Give your workflow a clear, descriptive title (e.g.,
NDA Red Flag Analysis).Icon: Choose an icon that visually represents the workflow's function (e.g., a magnifying glass for analysis).
Description: Write a concise, single-sentence summary of the problem this workflow solves for the user.
Tags: Add relevant, pre-defined keywords (e.g.,
document analysis, transactional) to make your workflow easy to find.
Step 2: Build the Core Logic & Input
This step defines the workflow's "brain" and how users will interact with it.
Workflow Prompt: Write a high-level "job description" for the AI, defining its role and overall objective (e.g.,
You are an expert paralegal specializing in contract review...).Workflow Assets: This is where you upload your "secret sauce." Upload a playbook, checklist, or template that contains your firm's specific expertise. This is the source of truth the AI will use.
Workflow Input: Define how the user will start the workflow. For document-based tasks, Start with a File is the most user-friendly option.
For a more detailed guide, see: Building the Core Logic: Using the Workflow Prompt and Assets.
Step 3: Configure Tasks
This is where you build the "engine" of your workflow by defining the specific actions it will perform.
Immediate Tasks: These actions run automatically as soon as the user provides their input. This is perfect for delivering instant value, like an initial risk analysis.
Suggested Tasks: These actions are presented to the user as optional next steps, guiding them through a logical process.
Task Configuration: When creating a task, you will define its name, instructions (the prompt), and important conditions like the Required Document(s) (e.g.,
Non-Disclosure Agreement) to make the AI more accurate.
For a more detailed guide, see: How to Create and Configure Tasks for a Workflow.
Step 4: Publish the Workflow
This final step controls who can access your new tool and how visible it is.
Visibility: Choose whether the workflow is available For all organization or only for specific, authorized individuals.
Featured: Turn this toggle ON to place your workflow on the main Vincent home screen for easy access.
Once configured, click Publish Workflow to make your new tool live.

Best Practices & Pro Tips
Your Blueprint is Your Guide: The plan you created with the General Assistant is your most important tool. Refer to it at each step of the build process to ensure your final product matches your initial design.
Start Simple, Then Iterate: Your first version doesn't have to do everything. Build a workflow that solves one core problem well. After you publish it and get feedback from your team, you can easily return to Studio to edit it and add more tasks and complexity over time.
